Portion planning guidelines for any event

Getting Portions Right

One of the biggest event planning concerns is running out of food. At the same time, massive over-ordering wastes money and creates disposal challenges. Understanding portion guidelines helps you plan accurately.

When using professional food truck catering, the vendor typically handles portion calculations. But understanding these guidelines helps you communicate your needs and verify that quotes are reasonable.

General Portion Guidelines

Main course: Plan 200-250 grams of protein (meat, fish, tofu) per adult for dinner events. Lunch portions can be 150-200 grams.

Side dishes: Allow 100-150 grams per person for each side dish. Most events offer 2-3 side options.

Appetizers: If serving appetizers before the main course, plan 4-6 pieces per person for a 1-hour cocktail period.

Dessert: One portion per person, typically 100-150 grams.

Factors That Affect Portions

Event timing matters: evening events require more food than lunch. Guest demographics affect consumption: younger crowds typically eat more. Multiple food options mean smaller individual portions as guests try different things. Event length also impacts total consumption.

Food Truck Specific Guidelines

Tacos: Plan 3-4 tacos per person for a meal, or 2 tacos if part of a larger menu.

Burgers: One burger per person is standard, but hungry crowds may need larger portions or sides.

Pizza: Plan 2-3 slices per person for adults, 1-2 for children.

Asian dishes: 300-400 grams of total food per person when combining rice/noodles with protein.

Planning Buffer

Order 10-15% more food than your confirmed guest count. Some guests eat more than average, and running short creates a poor experience. Most food truck operators will guide you on appropriate quantities based on their experience.

If you are unsure, discuss your event details with your caterer. They have experience with similar events and can recommend appropriate quantities.
